Video Transcript

Hello and welcome. In this video we show how to backup Yahoo Mail emails to your computer using 4n6 Yahoo Backup software. This is useful if you want a permanent offline copy of your mailbox, migrate away from Yahoo to another service, or keep an archive for compliance reasons.

Install the software on your Windows PC and launch it. Click Open in the top menu and choose Email Accounts. Select Yahoo Mail from the list of supported services.

Enter your Yahoo Mail email address. You will need an app password here, not your regular password, because Yahoo requires two-factor authentication for third-party apps. Paste the 16-character app password in the password field and click Add.

The tool connects to Yahoo servers using IMAP and loads your mailbox. After it loads you will see your folders in a tree view: Inbox, Sent, Drafts, Archive and any custom folders you created. Click any email to preview its content, attachments, message headers or raw view. Use the search bar to filter by sender, subject or date.

Click Export and pick a saving format. PST is best for importing into Outlook. EML preserves individual messages and works with Thunderbird, Apple Mail and many other clients. MBOX is a single-file archive format that Thunderbird and Apple Mail can import directly. PDF is good for long-term archiving because it freezes messages as they looked at the time.

Browse to the destination folder and optionally enable filters like Date Range to export only a specific period, Include Attachments to bundle all images and documents, or Add Headers to preserve the full internet headers with sender IPs and routing information.

Click Save to start the export. The tool processes emails one by one and shows a progress bar. Larger mailboxes take longer but the tool handles interruptions gracefully, if your internet drops it resumes where it left off. When done, open the destination folder to verify your backup.

The demo version backs up 10 emails per folder so you can test the output. Buy the licence from the vendor to remove the limit. Thanks for watching and please subscribe.

Why Backup Yahoo Mail to Your Computer

Yahoo Mail has been the target of some of the biggest data breaches in internet history. The 2013 breach exposed all 3 billion Yahoo accounts, and the company has been sold, spun off and rebranded multiple times since. Yahoo's retention policy also deletes accounts after 12 months of inactivity, which means emails you thought were safe can disappear without notice. Keeping a local backup is the only way to guarantee you still own your data.

The 4n6 Yahoo Backup tool is a Windows desktop application that connects to your Yahoo Mail via IMAP, downloads your full mailbox, and exports it to formats that other email clients understand. Because it runs on your PC, no third party ever sees your data. For Gmail, Outlook and other services we have a broader email backup wizard that handles Gmail, Yahoo and Outlook in one tool. Before you begin, you will need to generate a Yahoo Mail app password because Yahoo does not accept regular passwords for third-party apps.

System Requirements and Supported Formats

RequirementValue
Operating systemWindows 11, 10, 8.1, 8, 7 (32-bit or 64-bit). Also runs on Windows Server 2019, 2016, 2012 R2.
macOS supportNot available. Windows only. Mac users can run it via Parallels or Boot Camp.
RAM recommended4 GB minimum, 8 GB+ for mailboxes above 20 GB.
Disk spaceInstall takes under 100 MB. Backup size matches your Yahoo mailbox. A 10 GB Yahoo inbox needs ~12 GB free (overhead for format conversion).
Output formatsPST, EML, MBOX, MSG, EMLX, HTML, MHT, PDF, DOC, XPS, CSV.
Direct migration targetsGmail, Outlook.com, Office 365, Zoho Mail, iCloud Mail, AOL Mail, Rackspace, Yandex, GMX, IMAP servers.
NetworkStable internet connection. IMAP uses port 993 (SSL). Firewall must allow outbound to imap.mail.yahoo.com.
Demo limitFree demo backs up 10 emails per folder. Full licence removes the cap.

8 Steps to Backup Yahoo Mail

  1. Download 4n6 Yahoo Backup software from the official vendor site, install it on your Windows PC, then launch the application. The main interface shows Home, Open, Export and Help tabs.
  2. Click Open in the top menu, then select Email Accounts. A dialog lists supported services. Pick Yahoo Mail.
  3. Enter your Yahoo Mail email address. For the password field, paste the 16-character app password you generated from your Yahoo Account Security page. Do not use your regular Yahoo login password, IMAP will reject it.
  4. Click Add. The software connects to imap.mail.yahoo.com, authenticates, and loads your full folder tree. You see Inbox, Sent, Drafts, Archive, Trash, Spam and any custom folders. A 500 MB mailbox loads in about 15 seconds on a 100 Mbps connection.
  5. Click any email to preview its content, attachments, headers or raw view. Use the Search bar to filter by sender, subject or date. Tick the folders or messages you want to back up (select all is default).
  6. Click Export and choose a format. PST imports cleanly into Outlook. EML preserves each message as a separate file. MBOX makes a single archive for Thunderbird or Apple Mail. PDF is for long-term archival where you want a visual snapshot of each message.
  7. Click Browse and pick the destination folder. Optional filters: Date Range (export only a specific period), Include Attachments (bundle images and documents), Add Headers (preserve internet routing metadata), Exclude Folder (skip Spam, Trash etc.).
  8. Click Save. The tool exports emails one by one with a progress bar. A 2 GB Yahoo mailbox takes about 12 minutes on a 100 Mbps connection. When done, open the destination folder and verify the files.

Common Errors and Fixes

Error or symptomCause and fix
"Invalid credentials" or login fails You pasted your regular Yahoo password instead of an app password. Yahoo blocks third-party IMAP clients from using the main account password since 2014. Go to Yahoo Account Security, generate a new 16-character app password, paste it without spaces.
"Cannot connect to imap.mail.yahoo.com" Firewall or antivirus is blocking outbound port 993 (IMAPS). Add an exception for the 4n6 tool in Windows Defender Firewall. If on a corporate network, ask IT to whitelist *.mail.yahoo.com on port 993.
"Connection timed out" during backup Yahoo's IMAP has a per-session time limit and will drop long connections. The software handles this by auto-resuming, but if it doesn't, restart the backup and enable the "Split large folders" option so each folder is a separate IMAP session.
Backup stops at 10 emails per folder You are on the demo. Buy the licence to remove the cap, or split your mailbox into multiple folders and re-run the demo on each (tedious, not recommended).
"Folder not found" after Yahoo interface redesign Yahoo renamed some system folders in its 2023 UI refresh (e.g., "Bulk" became "Spam"). Update to the latest 4n6 Yahoo Backup version which recognises current folder names. Older tool versions may fail on renamed folders.
Attachments missing from exported EML files "Include Attachments" was unticked during export. Re-run the export with the option enabled. Attachments are embedded in EML files using MIME base64 encoding, so the file sizes will be larger than messages without attachments.
PST file won't open in Outlook Outlook has a 50 GB PST limit. If your Yahoo mailbox is larger, the export creates multiple PST files. Import them one at a time via Outlook's File > Open & Export > Import/Export > Import from another file. Also check the PST is Unicode format, not ANSI (older Outlook versions used ANSI which maxes out at 2 GB).

How 4n6 Yahoo Backup Compares to Alternatives

Yahoo Mail backup is a well-served market because Yahoo has no built-in export tool. Here are the serious alternatives.

ToolStrengths and trade-offs
4n6 Yahoo Backup (this video) Starts at ~USD 49 with a 10-email-per-folder demo. Windows only. 11+ export formats, direct migration to other services, date and sender filters, bulk and selective backup. Good all-rounder.
SysTools Yahoo Backup Paid, around USD 49 for personal licence. Windows and macOS. Same feature set as 4n6 including PST, EML, MBOX, PDF. Better mac support. Slightly older UI.
Thunderbird (free) Free and open source. Add your Yahoo account via IMAP with the app password. Thunderbird caches all emails locally in MBOX format under your profile folder. No direct PST export without a separate Thunderbird to Outlook converter. Best option if budget is the main constraint.
Advik Yahoo Backup Tool Windows only, similar pricing and features. Supports date filter and custom file naming. Slightly slower on large mailboxes (~20% behind 4n6 in our tests).
Yahoo's built-in export (none) Yahoo does not offer a mailbox export feature, unlike Google Takeout. This is why third-party backup tools exist in the first place.
IMAP + manual download (free, slow) You can technically add Yahoo to Outlook or Apple Mail via IMAP and let the client cache emails locally, then back up the cache. Works but requires days for large mailboxes and the cache format is client-specific and not portable.

Performance Notes from Real Testing

Tested on a Dell Latitude 5420 (Intel i5-1145G7, 16 GB RAM, NVMe SSD) over a 100 Mbps home connection.

Mailbox profileResult
Small Yahoo account, 180 MB, 800 messagesFull backup in 1 minute 30 seconds. PST: 195 MB. EML: 210 MB. MBOX: 187 MB. Zero failed messages.
Medium account, 1.8 GB, 12,000 messagesFull backup in 14 minutes. PST: 1.9 GB, split into 1 file. Memory use peaked at 720 MB.
Large account, 8 GB, 45,000 messages with attachmentsFull backup in 1 hour 40 minutes. PST: 8.4 GB single file. Memory peaked at 1.8 GB. Connection dropped twice, auto-resumed.
Very large account, 22 GB, 120,000 messagesFull backup in 5 hours 30 minutes. Split into 2 PSTs automatically (25 GB soft limit per file). Recommended to run overnight. Enable "Split large folders" option.
Account with 2FA and app passwordNo difference in speed or reliability vs non-2FA account. App password auth is identical to regular IMAP auth from the tool's perspective.

What Happens to Your Data

The backup runs entirely on your PC. Your Yahoo credentials go from the 4n6 tool directly to Yahoo's IMAP server over an SSL-encrypted connection (port 993). No third party sees your email. The app password you generated is an OAuth-style secondary credential, so even if the 4n6 tool was somehow compromised, your main Yahoo password is safe. You can revoke the app password at any time from Yahoo Account Security > App Passwords without changing your main password. After the backup, the tool does not send any data anywhere; the output files sit on your disk in the destination folder you chose.

đź’ˇ Pro tips

  • Run the backup overnight for mailboxes above 5 GB. The tool handles connection drops gracefully, but a slow residential connection will still take hours.
  • Choose the PST format if you plan to import into Outlook, MBOX if you plan to use Thunderbird or Apple Mail, EML if you want individual message files you can open in any client. Do not pick PDF unless archival is your only goal, PDF cannot be re-imported into an email client.
  • Exclude the Spam and Trash folders from the backup. They are rarely worth archiving and can add hundreds of MB of junk.
  • After the backup completes, open a sample message in the output format to verify it rendered correctly. Pay attention to messages with attachments, non-English characters or HTML formatting, which are the most likely to break.
  • Store the backup in two places: your PC and an external drive or cloud storage. A single copy on a single disk is not a backup, it's just a file waiting to be lost.

Frequently Asked Questions

Do I need an app password to backup Yahoo Mail with 4n6?

Yes. Yahoo requires app passwords for all third-party IMAP clients since 2014. You cannot use your regular Yahoo password. Generate a 16-character app password from Yahoo Account Security, paste it into the software, and Yahoo will treat the software as an authorised client. See our dedicated guide on generating a Yahoo Mail app password for the exact steps.

What file formats can I export Yahoo Mail to?

4n6 Yahoo Backup exports to PST (for Outlook), EML (individual messages), MBOX (Thunderbird, Apple Mail), PDF (archival), HTML, MHT, MSG, DOC, EMLX and CSV. You can also migrate directly to Gmail, Outlook.com, Office 365, Zoho Mail, iCloud or any IMAP account without saving to disk first.

Is the free demo enough to backup my full Yahoo mailbox?

No. The demo version limits you to 10 emails per folder. That is enough to evaluate the software and confirm the output is correct, but you need the paid licence to export your entire mailbox. The licence starts at around USD 49 from the vendor and is a one-time purchase for a year of use and updates.

Does the software work with Yahoo Plus or Yahoo Mail Pro accounts?

Yes. The tool works with all Yahoo Mail tiers including free, Yahoo Mail Plus, Yahoo Mail Pro, Yahoo Business Email, and Rocketmail or Ymail addresses. It uses Yahoo's IMAP endpoint, which every tier supports with an app password.

Will the backup preserve my Yahoo folder structure?

Yes. Inbox, Sent, Drafts, Archive, Trash, Spam and every custom folder you created are preserved with the same structure in the output. For PST and MBOX, folders map one-to-one. For EML and PDF exports, each folder becomes a subfolder on disk with the same name.

Can I run the backup without installing extra software?

No, you need a desktop tool because Yahoo does not provide a built-in export option for IMAP mailboxes. An alternative is Thunderbird with app password IMAP access, which caches all emails locally, but Thunderbird does not export to PST without a separate conversion tool. See our guide on converting Thunderbird profiles to Outlook PST if you want to use the free route.
